How to Transfer Data from One Environment to Another Using Xrm Toolbox (Data Transporter)

Data migration between environments can quickly become tedious and complex, especially when you’re working with custom entities and related records. While Microsoft’s Configuration Migration Tool is useful, it can feel heavy and time-consuming for simple data transfers.

Luckily, there’s a much easier solutionXrm Toolbox and its powerful plugin called Data Transporter.

In this blog, we’ll walk through how to transfer data from one Dataverse environment to another using Xrm Data Transporter, step by step.


What is Xrm Toolbox?

Xrm Toolbox is a community-supported desktop tool for Dynamics 365 and the Power Platform. It provides a large collection of plugins that help with administration, development, data management, and troubleshooting.

You can download Xrm Toolbox from the official website:

Once downloaded, install and launch the application.


Step 1: Open Xrm Toolbox

After opening Xrm Toolbox, you’ll land on the home screen, which shows all installed tools and allows you to search for new ones.


Step 2: Install the Data Transporter Tool

If you don’t already have Data Transporter installed, follow these steps:

  1. Click on Tools in the top menu

  2. Open the Tool Library

  3. Search for “Data Transporter”

  4. Click Install

✅ In this example, Data Transporter is already installed.


Step 3: Open Data Transporter

Once installed:

  • Go back to the Xrm Toolbox home screen

  • Click on Data Transporter to open the tool

The first time you open it, the tool will ask you to create connections.


Step 4: Create Source Environment Connection

  1. Click New Connection

  2. Sign in with your credentials

  3. Select the Source Environment (where your data currently exists)

  4. Save the connection


Step 5: Create Target Environment Connection

Now repeat the same process for the target:

  1. Click on Target Environment

  2. Create a new connection

  3. Select the Target Environment (where data should be migrated)

  4. Save the connection

⚠️ Make sure you select the correct environment to avoid moving data to the wrong place.


Step 6: Select the Entity to Transfer

Once both connections are set:

  1. Search for the entity you want to migrate
    (Example: Demo Data or a custom entity)

  2. Select the entity

  3. Choose the attributes (columns) you want to transfer


Step 7: Choose the Operation Type

Since we are creating new records in the target environment:

  • Select Create from the top-right corner


Step 8: Transfer the Data 🚀

Now comes the fun part:

  1. Click Transport Data

  2. Sit back and relax 😎

  3. Let Data Transporter handle everything for you

🎉 Yahoooooo!
Your data has been successfully transported from Environment 1 to Environment 2.

Step 9: Verify the Data in Source and Target Environments

After the data transfer is completed, it’s important to validate that the records exist in both environments.

Source Environment Data

Below is a screenshot from the Source Environment, showing the data before migration.

This environment contains the original records that were selected for migration using Xrm Data Transporter.


Target Environment Data

Below is a screenshot from the Target Environment, showing the same data after the migration.

After refresh

As you can see, the records in the Target Environment exactly match the Source Environment, confirming a successful data transfer.
